The Brief
Our client was preparing for their Annual Tradeshow, welcoming attendees from across the UK. The event required a new venue location, as well as seamless accommodation management for a large group of delegates.
Our Role
Venue Choice was asked to source a suitable venue, negotiate contracts, and provide ongoing accommodation support – ensuring both the immediate event and future editions were set up for success.
What we delivered:
Venue finding: We supported the client in relocating the tradeshow from another UK city to Birmingham, presenting venue options that aligned with their size, layout, and accessibility needs.
Multi-year contract: Once the new venue was confirmed, we supported negotiations to secure a multi-year contract, providing continuity and stability for future events.
Hotel contracting: We sourced and secured hotel room blocks in Birmingham, ensuring competitive rates and flexible terms tailored to the client’s requirements.
Accommodation management: We coordinated delegate bookings and managed rooming lists, liaising directly with hotel partners to guarantee smooth arrivals and a consistent guest experience.
On-site support: Our team were present on the ground throughout the tradeshow, providing hands-on support with room allocations, troubleshooting, and any last-minute adjustments.
The Result
The Annual Tradeshow successfully transitioned to its new Birmingham home, with both the venue and hotels running seamlessly. By securing a multi-year venue contract, managing accommodation logistics, and offering on-site support, Venue Choice ensured the client could focus on delivering a successful tradeshow without distraction.
